Agentic AI

AI agents versus workflow automation: which fits the task?

Compare deterministic workflows, AI-assisted steps, and tool-using agents using task variation, evidence, permissions, and review requirements.

Use predictable workflows for predictable work

If the steps and rules are known, a deterministic workflow is often easier to test and operate. Examples include checking required fields, routing a request using agreed criteria, synchronizing records, or calculating report values.

An AI-assisted step can sit inside that workflow when inputs contain variable language. For example, a model can prepare a summary while validation and assignment remain rule-based.

Use an agent for a bounded multi-step task

A tool-using agent may be useful when it must gather context and choose between a limited set of actions. It needs a specific goal, approved sources, narrow tools, execution limits, and a result that can be evaluated.

A research workflow might retrieve material, compare evidence, and draft a brief. An operational agent might inspect records and propose an update. These tasks require more evaluation than demonstrating that the model can call an API.

Define authority before connecting tools

Specify permitted reads and writes, input checks, approval points, and stop conditions. Consequential changes should follow explicit review requirements. When evidence is missing or a tool fails, the workflow should expose the reason and preserve enough context for recovery.

  • A verifiable task result
  • Approved knowledge and tool access
  • Human approval for sensitive actions
  • Step, time, and usage-cost budgets
  • Evaluation cases and operator visibility

Choose using a pilot, not a label

Compare representative tasks against a baseline. Review completion quality, exception frequency, time spent checking results, and model or tool costs. The simplest approach that reliably supports the job is usually a better starting point than adding agent behavior to every workflow.
